Description
The Procurement and Billing Specialist is responsible for managing the procurement process, including sourcing and purchasing goods and services required for the organization, and overseeing the billing and invoicing process to ensure accurate financial transactions. This role involves maintaining vendor relationships, ensuring cost-effectiveness, and ensuring compliance with company policies, while ensuring timely and accurate billing for services and products provided.
Responsibilities
- Source, evaluate, and select suppliers or vendors for the purchase of goods and services.
- Negotiate contracts, prices, and terms with suppliers to ensure cost-effective purchasing while maintaining quality standards.
- Prepare and issue purchase orders and monitor order fulfillment.
- Maintain accurate records of procurement transactions and inventory levels.
- Collaborate with internal departments to understand procurement needs and ensure timely delivery of goods and services.
- Manage supplier performance and resolve any issues related to product quality, delivery times, or billing discrepancies.
- Ensure compliance with organizational policies, industry standards, and legal regulations regarding procurement activities.
- Conduct market research to identify new suppliers and trends in the market to optimize purchasing strategies.
- Prepare and process invoices in a timely and accurate manner.
- Verify and cross-check billing data against purchase orders, contracts, and agreements to ensure accuracy.
- Handle customer or vendor inquiries regarding billing issues or discrepancies.
- Ensure all invoices comply with company procedures, terms, and accounting standards.
- Monitor and track outstanding invoices to ensure timely payments and follow up on overdue balances.
Requirements
- Bachelor's degree in business administration, Supply Chain Management, Finance, or a related field (preferred).
- Proven experience in procurement, purchasing, or billing, preferably in a similar industry.
- Strong negotiation, communication, and interpersonal skills.
