Position Title: Executive Assistant

Department: Administration

Location: Peco Road, Lahore

Reports To: Directors

Employment Type: Full-Time

Timings: 2:00 PM to 11:00 PM

Working Days: 5 days in a week


Job Summary:

The Executive Assistant will support the Directors by managing updates on ongoing projects, monitoring internal company matters, and ensuring compliance with organizational policies and standards. The ideal candidate will play a key role in facilitating smooth communication, maintaining records, and ensuring that all executive initiatives and internal operations are on track.


Responsibilities

Key Responsibilities:

  • Project Support:
  • Monitor and track project timelines, milestones, and deliverables.
  • Prepare and distribute regular project status reports to key stakeholders.
  • Assist in coordinating meetings, taking notes, and following up on action items related to ongoing projects.
  • Update project management tools and dashboards as needed.
  • Internal Matters:
  • Monitor internal operations and workflows, identifying areas for improvement.
  • Support the implementation of company policies and ensure all teams are aligned with organizational goals.
  • Handle internal communications, ensuring timely dissemination of information from the executive office to relevant departments.
  • Communication:
  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Draft, review, and send communications on behalf of the Directors.
  • Manage emails and correspondence, ensuring prompt responses.
  • Meeting Coordination:
  • Organize and schedule meetings, including preparing agendas and meeting materials.
  • Take detailed minutes and follow up on action items.
  • Compliance Management:
  • Ensure that company projects and internal processes adhere to regulatory and compliance requirements.
  • Assist in preparing compliance documentation and reports for reviews.
  • Maintain records related to compliance, company policies, and procedural guidelines.
  • Prepare reports, presentations, and data analysis as needed.
  • Manage confidential files and documents with discretion.


Requirements

Required Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience (2-3 years) as an Executive Assistant or in a similar role.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
