Position Title: Executive Assistant
Department: Administration
Location: Peco Road, Lahore
Reports To: Directors
Employment Type: Full-Time
Timings: 2:00 PM to 11:00 PM
Working Days: 5 days in a week
Job Summary:
The Executive Assistant will support the Directors by managing updates on ongoing projects, monitoring internal company matters, and ensuring compliance with organizational policies and standards. The ideal candidate will play a key role in facilitating smooth communication, maintaining records, and ensuring that all executive initiatives and internal operations are on track.
Responsibilities
Key Responsibilities:
- Project Support:
- Monitor and track project timelines, milestones, and deliverables.
- Prepare and distribute regular project status reports to key stakeholders.
- Assist in coordinating meetings, taking notes, and following up on action items related to ongoing projects.
- Update project management tools and dashboards as needed.
- Internal Matters:
- Monitor internal operations and workflows, identifying areas for improvement.
- Support the implementation of company policies and ensure all teams are aligned with organizational goals.
- Handle internal communications, ensuring timely dissemination of information from the executive office to relevant departments.
- Communication:
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Draft, review, and send communications on behalf of the Directors.
- Manage emails and correspondence, ensuring prompt responses.
- Meeting Coordination:
- Organize and schedule meetings, including preparing agendas and meeting materials.
- Take detailed minutes and follow up on action items.
- Compliance Management:
- Ensure that company projects and internal processes adhere to regulatory and compliance requirements.
- Assist in preparing compliance documentation and reports for reviews.
- Maintain records related to compliance, company policies, and procedural guidelines.
- Prepare reports, presentations, and data analysis as needed.
- Manage confidential files and documents with discretion.
Requirements
Required Skills and Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience (2-3 years) as an Executive Assistant or in a similar role.
- Strong organizational and project management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
