We are looking for a highly organized and efficient Office Administrator to support our dynamic team. The ideal candidate will play a crucial role in the smooth operation of our office, ensuring that administrative tasks are handled effectively. This position offers a blend of remote and on-site work in our New York office, providing flexibility while fostering a collaborative team environment.
Responsibilities:
- Manage daily office operations, including supply inventory, equipment maintenance, and mail distribution.
- Serve as the first point of contact for visitors, providing a warm welcome and assistance.
- Coordinate meetings, including scheduling, room preparation, and technology setup.
- Assist with travel arrangements and expense reporting for team members.
- Maintain organized filing systems, both digital and physical.
- Support HR tasks such as onboarding new hires and documenting HR files.
- Collaborate with the finance department to process invoices and track office expenditures.
- Implement and improve administrative systems, policies, and procedures.
Requirements:
- Proven experience as an Office Administrator, Office Assistant, or relevant role.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Ability to handle multiple tasks and prioritize effectively.
- High school diploma; additional qualification in Office Administration is a plus.
